How to archive already read items ?

FC Archive is based on the FirstClass gateway technology and therefore can only read unread (=flagged) mails. This guarantees that every mail object is read only one time into the selected file system folder. Archiving selected conferences through a special FC archive user account this works perfect, because every new item is flagged for this user and every new FirstClass mail is flagged for that user.

But how can existing mailbox content be archived with FC Archive using the corresponding account login data?

For that case a couple of solutions are possible.




Redirect mail rules

Following steps allow the archival of all users' received and sent mails with one central FC ARCHIVE instance. The idea is to distribute redirect mail rules to every mailbox with the task to redirect these mails to one ore more archive conferences. These conferences are read by FC Archive regulary.

As an example to setup this rule for all read items follow these steps:

1. Create the central archival conferences

2. Add aliases of these conferences to the work offline folder of Your FC archive account.

3. Setup the mailboxrules inside the selected privilege group form (e.g. all users). (For existing users this can be done using FirstClass scripting.) .The following screenshot displays the setup for the received mails case. An analog rule can be setup for the send mails case.

4. Setup Your FC Archive session to archive only work offline folder content.

5. That's it. Now every time FC Archive conects to his account only new (=flagged) mailbox mails of all included users will be archived to central file system folders.

Manual flagging

This method works best if the users want to decide which mails should be archived and which ones should be left out.

1. Mark all mails to archive using the FirstClas selection mechanisms.

2. Set the selected items to unread.

3. Run the FC Archive tool using this account's login data.
